If your desk is anything like mine, there are piles of papers with mental labels of ‘urgent’, ‘a bit less urgent’, and ‘for when I’ve got a spare moment’. These are the standard, everyday things. This leaves us feeling weighed down under the routine and stressed because of seemingly unreal expectations. A few simple steps can make all the difference to how you feel at the end of the day.

    Firstly, prioritize the workload. Isolating what is urgent and which tasks can wait is an essential step. Take whatever time it needs to sort tasks into an order of treatment. This brings an overall feel for the actual quantity of work, and will help focus attention on those areas where it’s needed.

When left to pile up these small tasks soon become onerous and make workloads appears worse than they are. Making the most of small opportunities during the day helps combat the administration tasks without causing significant time loss needed for pressing issues. Taking a break from a difficult project, escaping the customer’s eyes for a time, or spending the last ten minutes before a tea break are excellent chances to make a difference.

    Interruptions and demands from others can be the trickiest areas. If possible, build some non-contact time into each day. Organize with a colleague to each have uninterrupted time while the other covers the phones, or make the use of time falling outside of the business’ open hours. When new demands arise always be honest and realistic. A “today is not good, but I can get it done tomorrow” is much better than a “yes, I’ll do it today” which is never realised.
